Functions and Benefits

Many suppliers respond to orders with TecCom online reverse messages. In addition to order confirmation, dispatch advice and invoices can be sent. With the order confirmation the supplier confirms the receipt of the order, his ability to deliver, the price and the delivery schedule. He has the additional possibility to show variances in the order, such as changes in the delivery schedule, and quantity differences. A filter can check the document quickly and easily.

The dispatch advice announces the delivery date and allows the customer to prepare to receive the goods. The supplier can add information about the ordered articles, confirm deliverable order entries or communicate changes. A dispatch advice can refer to multiple orders. The confirmation number identifies each order uniquely. The electronic invoice contains the usual data such as delivery quantity, price, freight costs and conditions of payment.

Use

- To manually call up and process the electronic reverse messages in TecLocal, go to the function area “Received Documents”.
 
- Clicken on “Query”. The current reverse messages will now be read in completely. After this has finished click on “OK”.

- A Short Description of the content and sender can be seen by marking the list entry in the lower part of the window.

- Double click on an entry in the list or on ”Details” to display the entire document. From this view you can also print the document. If you activate the detailed view, the file „TempDoc.html” will be created. This file can be found in the directory “HTML” under the TecCom directory on the hard disk where your TecLocal is installed. Any program that can view HTML, such as MS Word or Excel, can be used to display the contents. Please note that this file is generated dynamically and only reflects the detailed view at a given time. If you view another document, the file will be written over and deleted when you leave the client.

- A click on “Export” allows you to store the message in any directory as an XML archive file and integrate it into your merchandise management system. If it cannot process XML files, TecCom provides the conversion software TecConversion Tables, which converts XML files into TXT. Ask us about it! For example, Microsoft Excel from Version 2003 onwards can directly open XML files and then store them in other formats such as XLS or CSV.

- The function “Filter”, selects items from the entire list according to the conditions you set. Examples are particular reverse messages, delivery dates or suppliers. As an alternative you can use the “Search Function”. The main difference from the filter function is that all documents including the orders are displayed.

If you do not want to call up your reverse messages manually, it is possible from Version 2.3 of TecLocal on to use the software TecMessageCall  to receive them automatically in TecLocal. The program (getdocs.bat) and the documentation (TEC-MessageCall_en.pdf) are located in the same directory on your computer after successful TecLocal installation. Our support staff can help with installation. In combination with the TecConversion Tables the received documents can be automatically stored in a defined incoming directory as XML or TXT.
